KONSTANTIN: Alan, what about the other way ... how to be clear, how to help other people to understand me in a meeting?
ALAN: Well, I usually recommend ten simple steps to help people understand what you're saying in meetings. The first is obvious: be well prepared. It's easier for you to be clear if you're well prepared. Secondly, and just as obvious: speak slowly and clearly. In other words, don't speak too fast. Third: always maintain good eye contact. Look at people, don't look at the table or out of the window! Fourth, it's a good idea, if possible, to use visual supports.
KONSTANTIN: So that's a bit like in a presentation, using visual supports can underline your message.
ALAN: Exactly. The next point, five, is possibly the most important: keep to the point. Say exactly what you need to say and make sure it's relevant to the discussion. Then number six: it's always best to use short and simple sentences. That way, you'll be easier to understand.
KONSTANTIN: Keep it short and simple.
ALAN: Yes, K-I-S-S. Kiss.
KONSTANTIN: Right. So what comes next?
ALAN: Well, point seven: summarise your main point, or points - so you briefly sum up your main ideas. Point number eight is: try to use Listing and sequencing language, things Like: 'first, second, third' or 'then, next, finally'. Next number nine: be aware of other people and check that thef understand you. You want to make sure people understand you. Finally, point ten; if you think it's appropriate, give out handouts with your mam points. So people take away a paper with your main ideas. So obviously that connects to the first one, which was to be well prepared.
